Implementing Paperless Pipeline: A True Story From a Broker/Owner

After seven years of research, being president of the local MLS, and running a 30-agent office that does 1,900 transactions per year, Kim Minor wanted to give her agents access to their transactions from anywhere.

Kim needed a quick system that agents would actually login to and use – for her and nearly 700 other offices, the answer was Paperless Pipeline. Pipeline tends to attract the super stars – and Kim is no exception.

Kim has been the Broker Owner at RE/MAX Real Estate Results since 2004. Before Pipeline, all of her office’s documents were stored digitally internally, but agents couldn’t access them. Instead, they scanned in the documents and the office admin would file it for them. Now, Kim has seven agents that work from home thanks to Pipeline.

Today, there are zero paper files in her office. Instead, agents fax, scan, or email documents into Pipeline.

Implementing Paperless Pipeline

Kim and her team signed up a couple months before implementing the system and fully began using it on January 1. In the few weeks leading up to it, she had a staff member enter every single current listing into the system, then everything that was under contract.

When they fully rolled out the system, they held three training sessions in the office where agents could come in and learn about Pipeline. All agents received detailed documents that outlined what each status meant, along with a 60-page “Pipeline for Dummies,” eBook.

But, according to Kim, the eBook has barely been used because the Pipeline system is so easy-to-use and can be picked up quickly. In fact, at an average age of 52, every agent has logged in and used the system.

Advice for New Users

If you’re new to Pipeline, or are considering it for your office, Kim has some advice.

  • Choose a “Go Date.” Ensure that every transaction and document from that point on has to go into the system.
  • Pay a staff member to be dedicated to Pipeline for the first 60 days.
  • Have a full-time administrative assistant, receptionist, and broker who takes care of the contract signing, reviewing, and recruiting.
  • DocuSign is a helpful add-on for broker signatures

Most importantly, Kim’s office is very happy with the cost of Paperless Pipeline – and they say it’s very much worth the money.

“I should have switched over a long time ago. It’s worth the money – and you can’t get another solution out there for this price, period. I’ve been in the market for 7 years, I know,” Kim says.
